Administrative Office Specialist

Main Duties and Responsibilities:
- Follow established procedures and guidelines to provide timely and effective reception support to the office.
- Plan and coordinate business trips, including booking plane tickets, hotels, and other travel arrangements.
- Office supplies management: keep the inventory of supplies, issue orders for all facility vendors (e.g. water, coffee, etc.), maintain an organized and well-stocked office environment.
- Communicate with the building maintenance to coordinate repairs and maintenance, ensuring a safe and functional working environment.
- Maintain regular communication with suppliers to ensure timely deliveries and address any issues that may arise.
- Receive, send, sort and distribute company correspondence.
- Greet and assist visitors, creating a welcoming environment and providing necessary information.
- Keep track of office equipment, products, and other inventory, ensuring accuracy and completeness.
- Manage access control to ensure the security of the office premises.
- Help the management team and other colleagues with other support tasks (e.g. bank, institutions, etc)
- Invoice management: checking and approving invoices for facility vendors.
- Purchase order issuing for facility vendors.
- Coordinates internal and external company events under the supervision of the Facility Manager.

- Strong interpersonal and communication skills.
- Ability to work in a collaborative environment with individuals across all seniority levels.

- Fluency in English.
- Bachelor/ University graduates.
- Customer service experience or administrative related work.
- Ability to maintain strict confidentiality.
